how to Gmail folders in your mail client configuration


The [Gmail] subfolders represent the special labels visible in the Gmail web interface: All Mail, Drafts, Sent Mail, Spam, Starred and Trash.

[Gmail]/All Mail contains all of your messages in Gmail, including your sent and archived messages. Any messages that you see in your inbox will also appear in the [Gmail]/All Mailfolder.

If you save any drafts in the web interface, they can be found in the [Gmail]/Drafts folder. We recommend that you set this folder as the drafts folder for your email client, so that any drafts you save in your client will be waiting for you in the web interface as well.

Moving a message to [Gmail]/Trash in your email client will move the message to Trash in the web interface and will mark the message for permanent deletion. Moving a message to[Gmail]/Spam will report the message to Gmail as spam and will also mark the message for permanent deletion. We strongly recommend that you do not set either of these folders as the trash folder for your email client.

Please note that you cannot remove the [Gmail] subfolders from your email client.

How to Set Up Outlook Email on a BlackBerry


BlackBerry devices have a set-up wizard that facilitates establishing an email account on your phone. You can set up Outlook email on a BlackBerry without using a BlackBerry enterprise server. Alternatively, you can set up email for your device using your computer connected to the Internet

  From the Device

o     

Select "Email Setup" from the "Home" screen if the email set-up wizard does not automatically start when you first set up your device.

Select "Create" or "Add" an email address and click the "Next" button. Newer BlackBerry models include email set up configurations for Yahoo!, Gmail and AOL. If you see this menu of options, select "Other" before clicking the "Next" button.

how to Backup your Outlook Express Data: Step by Step...


Outlook express data consists of the several parts.

  • Email messages
  • Account settings
  • Address Book (if used)
  • Mail rules (if any)
  • Passwords

1. Email Messages:

From the Outlook Express menu select Tools | Options | Maintenance and click the StoreFolder button. You see a dialog with the name of the directory that has your mail files. If you look in that directory you find files named after your mail folders and news groups. They all have a .DBX suffix. Outlook Express keeps all messages in these database files. If you make copies of these files regularly, you'll have a safe backup of your OE mail. 
Restore (if necessary): To restore the backup data, just copy it back to the directory. You can selectively restore folders by just copying specific files back. Alternatively, you can use OE's File | Import | Messages feature to import one or more of the backup folders. Email Account Settings
As far as we know, the procedure works for all kind of email: The regular SMTP / POP3 based email, MAPI, IMAP or even the free Hotmail Account, that is built into Outlook. For Hotmail, however, some messages and settings might be stored only at the Hotmail server ( = somewhere at Microsoft !) and not on your local PC.

2. Account settings:

Data about your mail and news accounts are stored in the registry key HKEY_CURRENT_USER\Software\Microsoft\Internet Account Manager. To save this data, start RegEdit and select that key in the left-hand pane. Then from the menu select Registry | Export Registry File. Save the file to a name like "outlook.reg". 
 Restore (if necessary) To restore the account settings, right-click the .REG file and select Merge.
Note: As an alternative, you can save the data one account at a time through Outlook Express: click Tools | Accounts | Export and specify the name of the file to save the settings. Be sure to save this information for every account. 

3. Address Book

Getting the data out of your address book for safekeeping is relatively easy. From the menu select File | Export | Address Book and select the comma separated text file as your output format. Then select the fields you want to export. To make sure you know where the backup is going, give a full path name. To restore the address book or to get your addresses onto a new system, the process is not quite symmetrical. Select File | Import | Other address book and select the text file option again. You'll be given a list of fields to import. Since you're importing a file that was created by Outlook Express, you usually don't need to make any changes here. After that, click your way on through the wizard and you'll get your address book back. 

4. Mail Rules

The mail rules are stored at HKEY_CURRENT_USER\Identities. If you run Regedit and export this entire subkey to a file the same way you did with account settings: from the menu select Registry | Export Registry File. Save the file to a name like "rules.reg". 
Restore (if necessary):  Under the Identities key each subkey has a long number that looks similar to {36753740-2WEE-781D3-89B1-00A0C9900DSA}. So if you have five different identities in Outlook you will have five of these long numbers. Below the numbers are all the settings specific the the identity (signatures, mail rules,...). If you are restoring without reinstall and on the same PC these numbers do not change (as far as we know !) and you can just restore the registry entries by clicking on the reg file.

5. Passwords

Outlook Express, along with those of most other Microsoft applications such as Internet Explorer, stores its passwords in .PWL files in your Windows directory. There's a separate file for each username on the system. Backup the files frequently

how to Gmail setup in Outlook 2003 and 2007



To set up your Outlook 2003 client to work with Gmail:
Enable IMAP in Gmail. Don't forget to click Save Changes when you're done.
Open Outlook.
Click the Tools menu, and select E-mail Accounts...

7.Click More Settings... and then click the Outgoing Server tab.

8.Check the box next to 'My outgoing server (SMTP) requires authentication' and select Use same settings as my incoming mail server.

9.Click the Advanced tab, and check the box next to 'This server requires an encrypted connection (SSL)' underIncoming Server (IMAP). Also, enter 993 in the Incoming server (IMAP) box.

10.Check the box next to 'This server requires an encrypted connection (SSL)' under Outgoing Server (SMTP), and enter 465 in the Outgoing server (SMTP) box.

11.Click OK.

12.Click Next, and then click Finish.

13.Download the latest updates for Outlook from Microsoft. This will help prevent the most common Outlook errors that Gmail users see.

How to configure you GMail account in OUTLOOK


Why should I use Outlook for my Gmail address?



Although the web based system of Google Gmail is one of the most feature rich webmail platforms, you may want to handle your Gmail account & messages from a client email software program such as Microsoft Outlook. For example, if you are using other email addresses and not just the Gmail account, most likely you would want to read and handle all your email accounts from the same interface & program.

Configuring the Outook Gmail settings.

You can configure Outlook to handle your Gmail account as a POP3 or as an IMAP account. Depending on your choice, you have to enable the related account option in your Gmail account (Gmail Settings -> Forwarding and POP/IMAP).

· Below, we will detail how to setup Microsoft Office Outlook 2000 to 2010 to send, receive and store email messages for a Gmail address. Before getting started, please make sure you know your Gmail email address and your Gmail password.

Start Outlook: from the main Outlook window, go to Tools -> Email Accounts.

On the Outlook popup window, select to "Add a new e-mail account" and click on Next.

On the server type step, select POP3 or IMAP (depending on your needs) for the Outlook email account type, then click on Next. There is no need to select the IMAP type, because the Gmail web based account will anyway keep a copy of all emails, just like an IMAP account would do.

On the next screen, you will have to specify your Outlook Gmail settings, such as your Gmail username and password, Gmail server addresses, Gmail server ports and Outlook Gmail display name.

 On the User Information section, enter your Name (it can be anything, but remember this is going to be the name/text that people will see when you will send them an email via your Outlook Gmail account) and your Gmail email address.

On the Server Information section, enter the Google Gmail servers:

POP Gmail servers for Outlook:
- Incoming mail server: pop.gmail.com
- Outgoing mail server: smtp.gmail.com.

IMAP Gmail server for Outlook:
- Incoming mail server: imap.gmail.com
- Outgoing mail server: smtp.gmail.com.
 
As an alternative, you may setup any other outgoing mail server that you have access to, such as your ISP's SMTP server or your own hosted outgoing server. However, if you setup a 3rd party outgoing mail server, you will not have access to sent emails via your web based Gmail account panel.

On the Logon Information section, enter your Gmail User Name (which is the same as your Gmail email address) and your Gmail password. Tick the box "Remember password" in order to make Outlook to store the Gmail password, so it will not ask you about it every time when Outlook will send/receive emails for the Gmail account.

Click on the "More Settings" button and go to the "Advanced" window tab.

If you use Gmail as a POP Outlook account:
- On the "Incoming server (POP3)" field, enter 995 and mark the box "This server requires an encrypted connection (SSL)";
- On the "Outgoing server (SMTP)" field, enter 465 and mark the box "This server requires an encrypted connection (SSL)".

If you use Gmail as an IMAP Outlook account:
- On the "Incoming server (IMAP)" field, enter 993 and mark the box "This server requires an encrypted connection (SSL)";
- On the "Outgoing server (SMTP)" field, enter 587 and mark the box "This server requires an encrypted connection (TLS)".

For both POP and IMAP, you also have to enable the option "My outgoing mail server requires authentication" from the Outgoing Server tab.

You can also change the server timeouts period: this defines the time interval for which Outlook will wait to establish a Gmail connection, before triggering a connection error. The slower your Internet connection is, the greater period you should put.
The "Delivery" options are not important for an Outlook Gmail account: no matter what you would change here, Gmail will always keep a copy of each email on the Gmail server.

When you are done setting up your Outlook Gmail advanced settings, click on OK to return to the Outlook Gmail account window.

To verify your Outlook Gmail setup, click on the "Test Account Settings" button: this will make Outlook to attempt to login to your Gmail account and to send & receive an Outlook test email. If the test will succeed, you will notice the test email in your Outlook Inbox folder. If the test fails, Outlook will prompt you with the error messages - most likely, you didn't setup the correct server settings or the Gmail password is wrong.
